How to plan technical production for a company event?

Technical production is not an accessory added after venue and catering. It is the system that makes the run-of-show executable. The earlier it is framed, the less event day becomes a chain of emergencies.

Technical control during a company event

Start from the run-of-show, not the kit

Who speaks, when, to whom, with which support. Equipment (sound, LED, stage) follows the programme. Reversing the order produces impressive setups that are poorly used.

Map the venue

Access, power, acoustics, height, hanging points, storage. Without that map, each vendor sizes in isolation.

Build a production calendar

Milestones: locked brief, visit, quote, artwork sign-off, prep, build, rehearsal, event day, strike. Show or ceremony dates do not move; everything else works backwards from them.

One control, several crafts

Sound, lighting, LED and stage must share a timing. That is the core of event production: not a pile of isolated rentals.

Frequently asked questions

When should technical production start?

As soon as format, city and date window are known, even if the venue is unsigned. Power and access constraints belong in venue selection.

Do you need a single production lead?

For a company event, one production contact reduces sound / lighting / LED / venue interfaces. That is often the agency or technical producer’s role.

What belongs in the technical brief?

Capacity, layout, minute-by-minute programme, capture needs, brand constraints, access and what the venue already provides.
