Site prep before crew arrival

Clear the footprint, check buried utilities, confirm truck access and water point if needed.

An approved floor plan avoids costly repositioning during rigging.

Anchoring and ballast

On asphalt or paving: ballast. On soil: verified anchors. Never shortcut fixation because fair weather is forecast.

Wind can shift in the evening, especially seaside or open areas.

Flooring and levelling

Install flooring before furniture and cabling. Check slopes for rain runoff.

Protect power cables with covers or raised crossings.

Power and utilities integration

Feeds sized for lighting, HVAC, kitchen and sound. Split loads across multiple circuits.

Coordinate with venue electrician or a generator if the site is isolated.

D-1 coordination with sound and light

Logical order: structure → flooring → rigged lighting → sound → décor.

A coordination meeting between structure, AV and org teams prevents overlap.
